Licensing — what you actually buy

• Mailbox migration license: ~$15/user (list). Covers one source→target mailbox move including unlimited passes/delta syncs for 12 months.
• User Migration Bundle: ~$25/user — adds documents (OneDrive/Drive) and more.
• Licenses are consumed per source mailbox — shared mailboxes and resource mailboxes each burn one.

The correct project structure

1. Create a Mailbox Migration project per source type (don't mix Exchange and IMAP sources in one project).
2. Endpoints: source (EWS for Exchange-family with impersonation; IMAP with app passwords for the rest) and target (Microsoft 365 with Modern Auth app registration — Basic auth is dead).
3. Autodiscover or manual server settings — test with one mailbox before importing the full user list via CSV.
4. Pre-Stage pass: migrate items older than 30/60/90 days first, while users keep working. This is the single most important habit — big-bang full passes on cutover weekend are how projects fail.
5. Delta passes nightly, then Full (final) pass right after MX cutover to catch the last hours.

Per-source reality check

• Hosted Exchange (Intermedia, Rackspace…): EWS impersonation may require provider tickets; throughput throttled near contract end. Start early.
• Google Workspace: Google export throttling (~1-2 GB/day/user in practice) caps speed regardless of BitTitan settings. Calendar time, not settings, fixes it.
• IMAP (cPanel, Zimbra, Zoho): mail only — no calendars/contacts through IMAP. Plan the export path for those separately or users lose them silently.
• M365 tenant-to-tenant: works well for mail/OneDrive; Teams 1:1 chats don't migrate (platform limit, all vendors).

The failures that generate rescue calls

• Cutover before delta caught up → users missing the last day of mail. Always check per-mailbox delta stats before flipping MX.
• Autodiscover left pointing at the corpse → Outlook password-prompt storm Monday morning. BitTitan moves data; DNS is your job. Our migration issues guide covers the fix.
• Licenses burned on wrong mappings — a mis-mapped CSV consumes licenses. Verify mappings on a 3-user pilot first.
• Throttling misread as "stuck" — check item counts over an hour before restarting jobs; restarts on throttled sources make it worse.
