The Google → M365 problem

What actually moves across.

01 / 04 · Two-way format compatibility
0%

Google Docs, Sheets, Slides auto-convert to Word, Excel, PowerPoint. Most formulas have direct Excel equivalents. Apps Script and Google-only functions (IMPORTRANGE, GOOGLEFINANCE) get manual audit and Power Automate rewrites.

02 / 04 · Per-user Drive size limit
0GB

Standard migration handles up to 250 GB per user in Google Drive. Over that, Premium package adds archive strategy and phased Shared Drive migration to SharePoint document libraries.

03 / 04 · Coexistence window
1-2wk

Users can work in both Gmail and Outlook during transition. Calendar free/busy syncs across platforms. Gives power users time to adapt before Google Workspace is decommissioned.

04 / 04 · Lost email addresses
0

Domain stays yours, addresses stay the same. Only MX + SPF + DKIM + Autodiscover change. Recipients notice nothing. Migration tool runs delta sync up to the minute of DNS cutover.

What's included

Every workload. Mapped cleanly.

01

Gmail → Exchange Online

Emails, labels (converted to folders with categories), signatures, filters (translated to Outlook rules). BitTitan MigrationWiz runs incremental sync until DNS cutover — zero downtime.

02

Drive → OneDrive

Personal Drive files to OneDrive for Business. Folder structure, sharing permissions, and version history preserved. Google Docs auto-convert to Word, Sheets to Excel, Slides to PowerPoint.

03

Shared Drives → SharePoint

Google Shared Drives map to SharePoint Online document libraries. Site permissions recreated with Entra ID groups. Team Drives become proper modern SharePoint sites.

04

Calendar + Contacts

Calendar events (including recurring, exceptions, attachments), free/busy, shared calendars, and global contacts. Room and resource calendars rebuilt as Exchange resource mailboxes.

05

Meet → Teams + Chat

Microsoft Teams provisioning, team/channel setup, policies, retention. Google Chat history exported to downloadable archive — Teams private chats start fresh by design.

06

DNS + security cutover

MX, SPF, DKIM, DMARC, Autodiscover tested and flipped off-hours. Entra ID, MFA, Conditional Access, and Intune baseline deployed before day one. Tenant is production-ready.

Delivery methodology

Four phases. Zero surprises.

01

Assess

1-3 days · User count, Drive size, Shared Drives audit, Apps Script review, fixed-price SOW in 3-5 business days.

02

Plan

3-5 days · M365 tenant provisioned, domain verified, coexistence configured, security baseline (MFA, Conditional Access) deployed.

03

Pilot

1-2 days · 10-20 pilot users migrated first. Validate Outlook, OneDrive sync, Teams, mobile devices. Fix every issue before the full wave.

04

Cutover

1-5 days · Wave migration, delta sync captures late changes, DNS flip off-hours. 7-30 days hypercare covers Outlook profiles, OneDrive sync, user questions.

Financial Services / Trading · 167 mailboxes · 9 countries · 4.14 PB · Google Workspace → Microsoft 365

Two parallel tenants, 9-country footprint, mid-flight license restructure

Scope

Existing M365 tenant (1,242 users, Entra ID, Intune-managed, Microsoft 365 Apps for Business + a few E3/E5/Copilot reservations). Parallel Google Workspace tenant with 848 user objects, 167 active mailboxes, 11.1 TB personal/shared storage, 4.14 PB across 93 Google Shared Drives. Footprint: Melbourne HQ, Vietnam, Thailand, Bulgaria, Guatemala, Cyprus, UAE, Philippines, UK, plus regional offices in Malaysia, Mongolia, Bangladesh.

Challenge

Several mailboxes exceeded the M365 100 GB primary limit, requiring per-mailbox strategy decisions. License model had to be restructured before cutover (Purview + Defender for Cloud Apps tenant-wide; right-sizing Apps Business vs Standard vs E3/E5). Compliance-driven retention requirements meant Online Archive alone wasn't sufficient. Multi-region cutover needed time-zone follow-the-sun coverage.

Fix

Pre-migration: full license SKU restructure (added Purview org-wide, Defender for Cloud Apps, kept E3/E5 reservations for compliance leadership). Storage strategy per >100 GB mailbox decided case-by-case (PST export for older retention, third-party archiving for compliance-sensitive accounts, phased Online Archive for current). Senior engineer placed on-site at Melbourne HQ during cutover window. Bangalore + Wyoming offices covered the off-Australia cutover hours. Microsoft Teams was NOT in scope — customer kept Zoom for UC; we provisioned Teams only as a side-effect of M365 baseline.

Outcome

167 mailboxes migrated cleanly. Zero permanent data loss. License restructure in place before cutover so post-migration ops were on the right SKU mix from day one. 4.14 PB shared drive data remained on Google Workspace as archive (not all migrated — strategic decision to keep historical data in source for cost reasons).

Real Estate Services · ~85 users · Single state · Google Workspace → Microsoft 365

Office-centric SMB cutover with full PC re-onboarding

Scope

Mid-size real estate brokerage in Georgia, USA. ~85 user mailboxes on Google Workspace. Heavy Google Drive use for transaction documents (contracts, MLS exports, closing packets). Mobile-first agents needed Outlook + OneDrive working on iOS/Android day one of cutover.

Challenge

Customer had no internal IT — needed everything handled, including PC re-onboarding for office-based staff. Google Drive folder structure was deeply nested with shared-with-individual permissions throughout (not Shared Drives). Needed to convert that into a clean SharePoint structure without breaking team collaboration.

Fix

Standard 4-phase delivery (Assess, Plan, Pilot, Cutover). 10-user pilot wave validated mobile setup before mass cutover. Drive→OneDrive for personal files; redesigned folder structure into 4 SharePoint sites (Listings, Transactions, Marketing, Operations) with proper M365 group-based permissions. PC re-onboarding included for all office staff during hypercare week.

Outcome

85 users on M365 with proper SharePoint information architecture (not just a flat OneDrive dump). Mobile devices working day one. No closing transactions disrupted during the cutover week.

Healthcare / HIPAA-regulated · ~120 mailboxes · Google Workspace → Microsoft 365 (HIPAA-compliant)

BAA-required migration with PHI in email + Drive

Scope

Multi-clinic healthcare provider on Google Workspace Business Plus. Patient health information (PHI) in email body, attachments, and Drive folders. Required signed BAA (Business Associate Agreement) with Microsoft and full audit trail of every data movement.

Challenge

PHI handling required encryption-in-transit + at-rest verification on every transfer. Audit log had to capture every mailbox + file with timestamp, source, destination, integrity hash. Sensitivity labels needed to be configured BEFORE migration to auto-classify PHI on arrival.

Fix

Pre-migration: M365 tenant configured for HIPAA (BAA in place, sensitivity labels deployed via Microsoft Purview, Conditional Access for PHI-classified content, audit log retention extended). Migration ran with SHA-256 verification on every item, full audit log captured. Post-migration validation included sample PHI item verification by their compliance officer.

Outcome

Full migration completed under HIPAA-compliant controls. Audit reports delivered to customer's compliance officer. Sensitivity labels auto-applying to PHI-classified content from day one.

What makes GW→M365 different

The GW-specific things we plan for.

Generic M365 migration guides skip these. They are the operational decisions that separate a clean cutover from a Monday-morning disaster.

01

Google pooled storage vs M365 separated storage

Google Workspace gives you ONE storage pool shared across Gmail, Drive, Photos. M365 separates storage into Primary Mailbox (50/100 GB hard cap), Online Archive (100 GB→1.5 TB auto-grow over time), OneDrive (1-2 TB/user), SharePoint (tenant pool). Migration planning has to map the source pool into the right destination tier.

02

Gmail labels → Outlook folders (multi-label gotcha)

Gmail allows ONE email to have multiple labels. Outlook uses single-folder structure. We map the primary label to a folder and preserve other labels as Outlook categories. We review your label structure before migration to flag any messy multi-labeled threads.

03

Google Docs/Sheets/Slides auto-conversion

Native Google formats convert to .docx / .xlsx / .pptx during Drive→OneDrive migration. Most formulas have direct Excel equivalents. Apps Script and Google-only functions (IMPORTRANGE, GOOGLEFINANCE, IMPORTHTML, IMPORTXML) get manually audited and rewritten as Power Automate flows or Office Scripts where business-critical.

04

Shared Drives → SharePoint sites (not document libraries)

Google Shared Drives map best to dedicated SharePoint sites (one per Shared Drive), NOT to document libraries within an existing site. This preserves the team-membership boundary and lets us recreate Drive permissions as M365 group memberships.

05

Google Vault retention → Microsoft Purview

Google Vault holds-and-search policies don't auto-port. We configure Microsoft Purview (eDiscovery, retention policies, sensitivity labels) before cutover to match the source retention model. For HIPAA / compliance-driven orgs this is non-negotiable, scheduled in the Plan phase.

06

License SKU restructure before cutover

Most GW→M365 migrations need a license rethink. Google Business Plus seats don't map 1:1 to a single M365 SKU. Common pattern: a few E5 seats for compliance leadership + Business Standard for the rest + Microsoft Purview tenant-wide + Defender for Cloud Apps if you handle sensitive data. We restructure BEFORE cutover so post-migration you're not paying for the wrong mix.

FAQ

Frequently Asked Questions

How do you migrate Gmail to Outlook in Microsoft 365?+
We use Microsoft native migration tools and BitTitan MigrationWiz to transfer all Gmail data — emails, labels (converted to Outlook folders), calendar events, and contacts. Migration runs in the background with incremental sync, so users keep working in Gmail until the final DNS cutover. Most users experience zero downtime during business hours.
Can you migrate Google Drive files to OneDrive and SharePoint?+
Yes. We migrate Google Drive personal files to OneDrive and Shared Drives to SharePoint document libraries. Google Docs, Sheets, and Slides auto-convert to their Microsoft Office equivalents. We preserve folder structures, sharing permissions, and file version history. Files over 250 GB per user require our Premium package.
Do Gmail labels convert to Outlook folders?+
Yes. Gmail labels convert to Outlook folders during migration. Since Gmail allows one email to have multiple labels while Outlook uses a single-folder structure, emails with multiple labels are placed in the primary label folder with the others preserved as categories. We review your label structure before migration for optimal mapping.
Can users keep their email addresses after migrating from Google Workspace?+
Absolutely. Your domain and all email addresses remain exactly the same. We update your domain MX records to point to Microsoft 365 instead of Google. Recipients notice no change — emails sent to your existing addresses arrive in the new Microsoft 365 mailboxes seamlessly.
How long does a Google Workspace to Microsoft 365 migration take?+
For small organizations (1-25 users), migration typically completes in 3-5 business days. Mid-size (25-100 users) takes 1-2 weeks. Enterprise (100+ users) ranges from 2-6 weeks. Actual data transfer runs continuously in the background — the timeline includes planning, testing, user training, and DNS cutover scheduling.
How much does a Google Workspace to Microsoft 365 migration cost?+
Gmail-only migration starts at $15/user. Adding Google Drive to OneDrive migration is $25/user. Full migration including SharePoint, Teams setup, and PC configuration ranges from $40-65/user. One-time $500 setup fee. Use our migration calculator for an instant estimate, or contact us for a custom quote for 100+ users.
What if our Google mailboxes are over 100 GB? M365 has a hard limit there.+
Correct — M365 caps the primary mailbox at 50 GB (Business Standard) or 100 GB (E3/E5). Google's pooled storage hides the per-mailbox size. We profile every mailbox during the assessment phase and apply one of three strategies for any source >100 GB: PST export of historical mail, third-party archiving (Barracuda or similar) for compliance retention, or phased migration into M365 Online Archive (which auto-expands toward 1.5 TB over weeks/months). Decision is made mailbox-by-mailbox during planning.
Can you handle multi-country tenants and on-site cutover support?+
Yes. Recent engagements have spanned 4–9 countries. For complex enterprise cutovers we can place a senior engineer on-site at your HQ for the cutover window — recently done at a Melbourne HQ for a 9-country forex broker engagement. Time-zone follow-the-sun coverage is included from our Bangalore + Wyoming offices.
Should we restructure our M365 licenses before or during the migration?+
Before. Google Business Plus seats don't map 1:1 to any single M365 SKU. We audit the existing M365 tenant if you have one (assigned vs reserved licenses, current SKU mix, required add-ons like Microsoft Purview / Defender for Cloud Apps / Intune / Copilot) and recommend a target license model BEFORE cutover so you migrate into the right seats from day one. Common right-size pattern: a few E5 seats for compliance leadership + Business Standard for the rest + Purview tenant-wide.
What happens to Google Apps Script automations and IMPORTRANGE/GOOGLEFINANCE formulas?+
Apps Script doesn't port directly to Excel — it gets audited during Plan phase. Business-critical scripts get rewritten as Power Automate flows or Office Scripts. Google-only spreadsheet functions (IMPORTRANGE, GOOGLEFINANCE, IMPORTHTML, IMPORTXML, ARRAYFORMULA in some contexts) need manual handling: most have Excel equivalents (Power Query, STOCKHISTORY, Web Queries) but the formulas themselves don't auto-translate. We deliver a Apps Script + special-formula audit report as part of the assessment.
Can you do a HIPAA-compliant Google Workspace to M365 migration?+
Yes. We have run BAA-signed migrations with PHI in source mailboxes and Drive folders. Pre-migration: M365 tenant configured for HIPAA (BAA in place, Microsoft Purview sensitivity labels deployed, Conditional Access for PHI-classified content, audit log retention extended). Migration runs with SHA-256 verification on every item with full audit trail. Compliance officer gets a sample-verification report post-migration.
