Microsoft 365 splits storage across services with hard limits per plan. Unlike Google Workspace pooled storage, M365 storage is not interchangeable. This is the reference table we walk every customer through during the assessment phase.

Source mailbox over 100 GB? Three strategies.

You cannot just “migrate it in” if the source mailbox exceeds the M365 primary mailbox limit. Here is the decision matrix we apply on every large engagement.

When: Older email rarely accessed but legally retainable

Move emails older than X years to PST files before migration. Keeps the active mailbox under the primary limit while preserving access via Outlook PST mounting. Fastest path for mailboxes 100–250 GB.

Yes for tenant-to-tenant. Teams, channels, and channel files migrate cleanly between tenants using BitTitan, Quest, or ShareGate. One limitation called out upfront: 1:1 private chats cannot be migrated by any tool — this is a Teams platform constraint, not a provider limitation.
What is the largest mailbox you can migrate, and what about source mailboxes over 100 GB?+
There is no upper limit on what we can migrate, but Microsoft 365 itself caps the primary mailbox at 50 GB (Business Standard) or 100 GB (E3/E5). For anything bigger we apply one of three strategies: PST export of historical mail before migration, third-party archiving (e.g. Barracuda) for compliance-driven retention, or phased migration into the M365 Online Archive (which auto-expands toward 1.5 TB but in chunks that take days to weeks to provision). We pick the strategy mailbox-by-mailbox during the assessment phase. See the M365 Storage Strategy section above for the full decision matrix.
Do you handle multi-country tenants and on-site cutover support?+
Yes. We have run migrations across 4-, 6-, and 9-country footprints. For complex enterprise cutovers we can place a senior engineer on-site at your HQ for the cutover window. Time-zone coverage during multi-region cutover is included — engineering follows the sun across our Bangalore + Wyoming offices.
What if our current email provider is uncooperative with the migration?+
Common scenario, especially with smaller hosted-IMAP and regional providers. We coordinate directly — open the support ticket on your behalf, request admin/control panel access (preferred) or a temporary password reset for the cutover window (fallback). We confirm IMAP server, port, SSL settings, IP restrictions, and rate limits before scheduling cutover. For 400+ mailbox migrations on hosted-IMAP, this coordination is what prevents mid-cutover throttling failures.
How do you decide which Microsoft 365 license SKU we should be on for the migration?+
Pre-migration we audit the existing tenant: assigned vs reserved licenses, SKU mix (Business Standard, E3, E5, F1/F3, Apps Business/Enterprise), required add-ons (Purview, Defender for Cloud Apps, Intune, Copilot), and per-region requirements. We recommend SKU adjustments BEFORE cutover so we are not migrating into a license model you would have changed anyway.
