The storage tiers and the limits.
Microsoft 365 splits storage across services with hard limits per plan. Unlike Google Workspace pooled storage, M365 storage is not interchangeable. This is the reference table we walk every customer through during the assessment phase.
Primary Mailbox
This is the hard limit for the active mailbox. If a source mailbox is bigger than this, you cannot just "migrate it in" — needs a strategy (see below).
Online Archive (In-Place Archive)
Critical detail Microsoft does not flag clearly: archive expands in chunks when nearing limit, NOT instantly. Provisioning new chunks takes days to weeks. A 600 GB archive can take many months to fully provision. Plan accordingly.
OneDrive for Business
Per-user cloud storage for files. Migration includes NTFS permission mapping, version history, and metadata.
SharePoint (Team Storage)
Shared across Teams sites and SharePoint sites. Roughly the M365 equivalent of a Google Shared Drive.
Source mailbox over 100 GB? Three strategies.
You cannot just “migrate it in” if the source mailbox exceeds the M365 primary mailbox limit. Here is the decision matrix we apply on every large engagement.
PST Export of historical mail
When: Older email rarely accessed but legally retainable
Move emails older than X years to PST files before migration. Keeps the active mailbox under the primary limit while preserving access via Outlook PST mounting. Fastest path for mailboxes 100–250 GB.
Third-party archiving (Barracuda / similar)
When: Compliance-driven retention requirements (banking, legal, healthcare)
Long-term retention outside the M365 system in a dedicated archiving platform. Decouples archive growth from M365 storage limits. Right call when you need WORM storage or eDiscovery on years of historical data.
Phased migration to Online Archive
When: Active mailbox is current; archive can grow over time
Move current emails to primary mailbox during cutover, then incrementally move older emails into the M365 Online Archive over the following months as it auto-expands toward 1.5 TB. Right call when you want everything in M365 long-term.
