Microsoft 365 Copilot — The $30/User Question
Microsoft 365 Copilot is the most significant (and most expensive) add-on Microsoft has ever launched. At $30/user/month, it costs as much as some entire base plans. Understanding what you get — and more importantly, what you need before you can deploy it — is critical. If you are planning to deploy Copilot right after migrating from Google Workspace to M365 or moving off on-premises Exchange, wait until your data governance is solid — Copilot amplifies both good and bad permission structures.
Copilot Prerequisites
You cannot just buy Copilot licenses and assign them. Several technical prerequisites must be in place:
- Base license: Microsoft 365 E3, E5, Business Standard, or Business Premium (no F1/F3, no Office 365 plans)
- Entra ID: Users must authenticate through Entra ID (formerly Azure AD)
- OneDrive: Must be enabled for file-based Copilot features
- New Outlook or Outlook for Microsoft 365: Classic Outlook is not supported
- Teams: Required for Copilot in Teams meetings
- Microsoft Graph: Copilot queries your organizational data through Graph — your data must be well-organized
- Data governance: Copilot can surface ANY data the user has access to. If permissions are too broad, Copilot will expose data the user should not see.
Watch Out
The biggest hidden cost of Copilot is not the $30/user/month — it is the data governance cleanup you need to do before deployment. If your SharePoint permissions are a mess (and most organizations' are), Copilot will surface sensitive documents to anyone who technically has access. Fix your permissions FIRST.

Security Copilot
Completely separate from M365 Copilot. Security Copilot is consumption-based — you pay per Security Compute Unit (SCU) at approximately $4/SCU/hour. It integrates with Defender, Sentinel, Intune, and Entra to provide AI-powered threat investigation. Budget carefully — costs can add up quickly during active incident response.
Power BI Premium Per User ($20/user/mo)
Goes beyond Power BI Pro (included in E5 or $10/user/mo add-on). Premium Per User adds: paginated reports, deployment pipelines, AI-powered insights, dataflows, and advanced XMLA endpoint access. For organizations not ready for Power BI Premium capacity ($4,995/month), PPU is the affordable way to access premium features.
