The Complete Guide to Microsoft 365 Plans and Pricing (2026)

Microsoft 365 offers more than a dozen licensing plans across Business, Enterprise, Frontline, Education, and standalone tiers. Choosing the wrong plan wastes money — choosing too cheap a plan leaves security gaps. This free M365 License Navigator helps IT admins, procurement teams, and MSPs compare every plan's features, calculate mixed-licensing costs, and find the exact combination that fits their organization.

Microsoft 365 Business Plans (Up to 300 Users)

Business Basic ($6/user/mo) includes web and mobile Office apps, Exchange Online with 50 GB mailbox, 1 TB OneDrive, Microsoft Teams, and SharePoint. It's the entry point for small businesses that don't need desktop apps. Business Standard ($12.50/user/mo) adds full desktop apps — Word, Excel, PowerPoint, Outlook, Access, Publisher — plus Clipchamp video editor and Microsoft Loop. Business Premium ($22/user/mo) is the only Business plan with Intune device management, Defender for Business, DLP, conditional access, and Azure Information Protection.

Microsoft 365 Enterprise Plans (Unlimited Users)

E3 ($36/user/mo) is the enterprise workhorse — everything in Business Premium plus Windows 11 Enterprise, Exchange Plan 2 (100 GB mailbox + unlimited archive), eDiscovery Standard, Entra ID P1, and Intune Plan 1. After July 2026, E3 also includes Defender for Office P1 and Intune P2 at $39/user/mo. E5 ($57/user/mo, $60 after July 2026) adds the full security stack: Defender for Endpoint P2, Defender for Identity, Defender for Cloud Apps, Entra ID P2, Phone System, Audio Conferencing, Power BI Pro, eDiscovery Premium, Insider Risk Management, and Communication Compliance. E5 is required for organizations with strict compliance needs (HIPAA, PCI-DSS, SOC 2, FedRAMP).

Frontline Worker Plans

F1 ($2.25/user/mo) gives frontline workers Teams, web Office apps, and basic security with no email. F3 ($8/user/mo) adds Exchange Online (2 GB kiosk mailbox), SharePoint, and Intune P1. Both plans are ideal for retail, healthcare, and manufacturing workers who share devices.

Office 365 vs Microsoft 365 — What's the Difference?

Office 365 plans (E1, E3, E5) include only cloud productivity services — no Windows 11, no Intune, no Entra ID premium. Microsoft 365 plans bundle Office 365 + Windows 11 Enterprise + Enterprise Mobility + Security (EMS). For most organizations, Microsoft 365 E3 or E5 provides better value than Office 365 E3 or E5 when you factor in the security and management tools you'd otherwise buy separately.

How to Save Money with Mixed Licensing

Most organizations overspend on M365 by putting every user on the same plan. The smarter approach: assign E5 only to executives and IT admins who need Phone System and advanced security, E3 for standard knowledge workers, and F3 for frontline staff. A 500-user company using mixed licensing typically saves $3,000–$8,000/month compared to putting everyone on E5. Use our cost calculator below to model your scenario.
